Community Screenings - Screening Requests and Selling Screening Licenses

Set Up

1. Create a product for the digital account that will be issued to the screening organiser: This product should be called something like "Digital Screening Account', and it needs to be set to the type 'Digital License Fee'.

You can set this product up with a digital download of the film. You can also set a price for the product.

You can also use the box titles 'Order Message' to create a viewing guide, or add additional information, files and links needed by the screening organiser.

2. Create the physical product for shipping a DVD or Bluray: This is optional and not needed if you plan to only use a download to supply the film to an organiser.

The product should be set to the type 'Screening Fee'. Select the digital product made in step 1 from the dropdown 'Digital product to send' - this is important as it will send the Digital Screening Account log in to the Screening Organiser when a physical product is purchased.

Set a description, image and price as needed. You can set up different price options using the Attributes, for instance educational or public license, DVD or Bluray. Each option can have different price points.

3. Add your terms and conditions for screening licenses to the Webstore terms.

4. Make sure both products are set to 'ON' and that a payment method like Stripe or Paypal has been set up on the Webstore.

5. If needed, you can add a poster that can be edited with the screening organisers details and times. This is a complex process to set up, please contact us and we'll help with this.

Part 1 - Enquiry

1. Set up a page on the website encouraging people to put on a screening, embed the screening request form using the module Forms > Screening Enquiry.

2. When users fill in this form, it generates an email to the contact set for Screening Enquiries. The data is also kept in Audience > Screening Enquiries.


Part 2 - Approval & Purchase

1. As screening requests come in, you can check if you want to allow them to put on a screening. You may have cities or countries you don't want screenings to happen in due to rights issues. You can see all enquiries under Audience > Screening Enquiries. If approved, you can issue the user a link to the shop product by using the drop down to send a link to a product to purchase. If you have a physical product set up, use this one to send to the user.

2. The user gets an email inviting them to purchase the license. When they follow the link, they select the type of license they want to purchase (e.g. educational or public license, DVD or Bluray).

3. They have to agree to the terms and conditions before being able to purchase.

4. They can pay through the webstore using the payment method set up

5. The status of the screening enquiry changes and this would issue an email to the contact set for the Webstore

6. The DVD or Bluray needs to be sent out, this can be via a fulfilment integration or self-fulfiled


Part 3 - Issue Product


1. Once the product has been paid for, the digital account is issued which sends log in to the user

2. The user can log in and get the Viewing Guide or similar materials you have previously prepared

3. If it's a public screening they can enter their screening details and time to appear on the main website screening list

4. When publicly listed, people can RSVP to this screening and the screening organiser is notified of their email

5. If set up, the screening organiser can download a copy of the film

Finally - the screening organiser puts on the film screening.
